This is a very exciting time for Narcotics Anonymous (NA) with
the review of motions from the Conference Agenda Report (CAR)
being reviewed by our fellowship and the Western New York Regional
workshop.
Last month, the workshop in Alford, Maine was very
spiritual and enlightening. There were two world board members
present. There are lots of new and exciting motions and changes
to our literature this conference cycle.
The help from NA unity, which motivates and contributes
to the primary purpose, was gratefully appreciated by the regional
delegate alternate, Bob B, and regional chair, Dave M., and Liz
M. Who stepped in to do flyers when Josh of Niagara Falls backed
out of his commitment to the region? Also, Laurie M, regional
committee member of Ni-O area resigned a week before hosting the
regional meeting and C.A.R. workshop, in addition to being very
resistant and rebellious to communicating information regarding
workshop facility and accommodations however, the "we"
who are willing, will continue to serve the N.A. way with goodwill.
There are commitments that the regional delegate and regional
delegate alternate have to fulfill.
Upcoming is the North East zonal forum January 30, 2004, and M.A.R.L.C.N.A
- the world service e conference in April 2004.
There are request for some expenditure from the previous
workshop in Maine, and budgeted request for the next two events.
I also contacted an insurance broker who insures the
Greater New York region and discussed a policy. She informed
me that our convention should be insured and the hotel will not
cover us.
Q What happens with the material sent from world/car report, new
treasure workbook WS annual report etc.
A-chair is willing to allow anyone who may have a need for any
material may have it.
C-R.D.A. R.D. should note about rpt to the WSO.
A-R.D. must give rpt to WSO on report of the CAR workshop

Hello family I'm excited about the upcoming events in the next
few months I've done some research for MARLCNA we will be requesting
$113.08 for car rental budget was the least experience of the
three also requesting $60.00 gas & airfare for the North East
Zonal forum in NY city the air fare the cost for 2 round trip
tickets is $290.20 well leave at 7:50 am return at 5:40 they were
the least expensive out of 5 airlines Cedric has flyers on these
and will request $ for hotels and per DM also tried to do conference
registration & housing from over the internet and after a
few attempts the page is dead so I e-mail the web master with
what happening I'll mail it out this week if no response also
did a mailing (forgot receipts) to area reps for CAR report Chautauqua
Ni-O, Niagara Falls, Buffalo got 100 copies 50 by me and 50 by
Cedric also might want to talk about region we must contact before
March 15th if we make early registration threw World's travel
agent to get 10 discount if made before 23rd of fed 5% discount
after that date so.

Things are going well as we approach our first meeting
for 2004. I have been in close contact with our RD Cedric S.
and look forward to the CAR workshop following this meeting.
I have also been in contact with our convention chair Gretchen,
regarding the progress of their planning committee. All details
will be in their respective reports so I will not duplicate the
information by listing the topics we discussed in our conversations.
I also have a small donation from my home group for the region.

The convention committee has met 5 times since the
last regional meeting and has elected/filled all officers and
chair positions. The executive committee is as follows, Vice-chair-Jesse

The committee has decided to meet every 1st Sunday
of the month at 12:00 noon, 66 Englewood Ave., Buffalo. With
the exception of this month January, which we meet on Saturday
the 10th and next month Saturday 7th, 12:00 noon 66 Englewood.
We are doing so because I will be out of town speaking at a convention
the weekend of Feb 1st.
On December 24,2003 Regional vice-chair Rodney M. and
myself met with Bill Williams of the Holiday Inn, Grand Island.
Submitted with this report is their proposal for next year's
convention. The convention committee has some concerns with their
proposal. First, the dates that we requested are not the dates
they are willing to give us. We asked for the 3 or 4 weekend
in October. We where told verbally that we where penciled in
for the last weekend in October. A day before our scheduled meeting
we where given dates for the 1 weekend in 0ctober or mid November
Rodney felt we should go with the 1 weekend in October because
we would be in competition with several other conventions. Second,
the Hotel would like to accommodate us for the banner destroyed
at the end of last year's convention by knocking off $500.00 off
this years-set up fee. Our committee felt that we should get
a payment instead and not have anything is held over to this.
Third, when I reviewed the contract I noticed an extra fee for
some of the set up, in the breakdown section of the contract and
brought this to both Rodney's and Bill Williams's attention.
The extra fee was added on to the proposal, in order for the hotel
to have more staff on duty during the night. The hotel claimed
that they had to have their front desk staff do a lot of running
around getting several items for our hospitality committee during
the overnight hours and needed staff on duty because we use the
ballroom late into the night on Friday and Saturday. We disagreed.
During the convention the hotel left us with big bins of water
for the night (as per our contract with them) to make coffee with
and our hospitality committee took care of everything else, including
keeping the room clean. As far as having staff on duty for anything
in the ballroom, while our dance was going on there was no need
for this because their staff did not do anything during the dance.
After they cleaned up from the banquet on Saturday we did not
serve any food in the ballroom and our entertainment committee
took care that room. Although Rodney and myself disagreed and
could not truly see why they would need this fee, we agreed that
if we go this hotel we would split the fee with them. Lastly,
I noticed that there was no mention of the Riverview ballroom
in their proposal, we where told during this meeting that we could
not use the Riverview ballroom at all on Saturday night. Mr. Williams
claims that they could make an extra $10,000.00 off that room
by booking a wedding there, that night. Even though they don
not have one book, for that weekend (yet). Last year we where
told we could not use it because they had previously booked someone
before we even met with them. However, we where previously told
by last years management that we could have full use of the hotel
this year and that they would not double book any the events during
our convention if we went with them again this year. Mr. Williams
was not with the Holiday Inn last year when we had this conversation
with the hotel management and he was very firm on this subject.
He told us straight out that we could not use the Riverview ballroom
on Saturday night, unless we could guaranty them $5000.00 in income
for the rooms usage. We did state that he should hold the hotel
for us for the first weekend in October but that we could not
finalize anything until we met with our Regional committee this
month.
Upon hearing the above report, my committee asked our
vice-chair Jesse S. to get some quotes from some other hotels,
to use as barging points when we meet with the Holiday again.
Jesse spoke/met with three other hotels The Marriott, who never
sent him a proposal. The Days Inn in Niagara Falls, (where we've
been in the past) Jesse was not happy with the cleanliness of
this hotel and did not ask for a proposal, and McKinley Hotel
in Blasdell, NY. Jesse brought the information back from the
McKinley when we met on the 10. Those of us who where at the
meeting where impressed. I have sent a copy of their proposal
as well. We also got a chance to go and look and meet with them
on Sunday the 11. We where happy with this hotel and felt they
where giving us a better deal than the Holiday Inn. It is our
recommendation that we move our convention to the McKinley Hotel,
but we would like Regions suggestions and guidance with this decision.
Susan M. is handing in a check for $2969.61 dollars
the balance from last year's convention. Which will close out
the account. We are requesting 2500.00 seed money for this year's
convention. Susan M. and myself will open a new bank account
for this year convention with the $2500.00.
In conclusion, I have yet to check into the insurance.
My committee would like direct instruction as to whether the
region would like us to get insurance this year so that it is
clear to my entire committee that we will purchase insurance for
the convention.

Greetings I'm sorry I could not be with you today, as I had to
go out of state. I pick-up the Regional mail and am forwarding
it for today's meeting. I researched tax-exempt status for the
Region since we last met. Steven Sanders C.P.A. quoted a price
of five hundred dollars annually. Mr. Sanders stated that setting
up the 501C is something we could do online ourselves. Ester
Gulyas quoted a price of $80.00-$125.00 to setup the 501C, charge
125.00 to file non-profit tax returns and $50.00 per hour bookkeeping
services. The contact person at Ester Gulyas is Chris Fabian
or Tiffany @ 632-7886. The third CPA did not return my call.
I would strongly suggest we pursuit Ester Gulyas in this endeavor.
I attended a meeting with Gretchen at the Holiday Inn Grand Island
regarding contract Negotiations for the Regional Convention.
Since then I have spoken with the past convention Vice-chair who
informed me the committee is looking at other sites at this point
I would endorse the Blasdell location for the following reasons.
We would have full run of the hotel
Lower setup & break down price
Most importantly is more cost affordable to the fellowship offering
$55.00 rooms
Availability of over flow rooms with shuttle service to &
from a nearby hotel.
